Job Description:
We are seeking a professional and polished Phone Representative to serve as the front-line voice for our financial advisory team. You will handle incoming calls from HNW clients with care and confidence, acting as a trusted liaison between clients and our advisory team. Your goal is to ensure every interaction is handled with accuracy, discretion, and a high level of service.
Responsibilities:
- Professionally answer and direct incoming calls from clients, prospects, and vendors.
- Triage and escalate inquiries to appropriate advisors or team members with proper documentation in our CRM (Redtail).
- Schedule and confirm meetings, coordinate calendar availability, and provide appointment reminders.
- Respond to basic questions related to account paperwork, statements, meeting logistics, and service status updates.
- Uphold the highest level of confidentiality and compliance with regulatory guidelines (FINRA, SEC, etc.).
- Maintain detailed records of client interactions using Redtail CRM to support service quality, follow-up, and compliance.
- Assist with preparing and routing client documentation as needed.
Qualifications:
- Minimum of 2 years in a client service or administrative role, ideally in financial services, private banking, or wealth management.
- FINRA experience preferred (i.e., having worked in or supported a FINRA-registered firm).
- Exceptional verbal communication skills and a confident, composed phone presence.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Familiarity with CRM systems (Redtail preferred) and Microsoft Office Suite.
- Discretion, professionalism, and emotional intelligence when interacting with HNW clients.
- Knowledge of financial industry terms and account operations is highly preferred.
- Bachelor’s degree in business, finance, or related field is a plus.
